Why we built this

Built by people who lived this problem.

OwndUp came out of real frustration, and a stubborn belief that the middle ground deserved a real tool. Three things pushed us to build it.

01

We've been there.

Watching asset spreadsheets rot the moment headcount hit 20. Chat threads still asking "who has Lisa's MacBook?" three weeks after she left.

02

We tried the alternatives.

Spreadsheets that bit-rotted. Enterprise IT tools quoted higher than our cloud bill. Built for IT departments we didn't have.

03

We built the missing middle.

Simple enough to set up over coffee. Strict enough that nothing slips through. No enterprise tier gates. No per-user traps.

The problem

What breaks when nobody owns it.

Without one accountable owner, small issues become permanent problems. Nobody knows who to ask about renewals, access, or returned equipment.

Tools become unowned

SaaS subscriptions, hardware, and assets drift without clear ownership. Nobody knows who to ask about renewals or access.

Offboarding is risky

When employees leave, their responsibilities often get lost. Critical accounts and assets fall through the cracks.

Renewals are forgotten

Contracts auto-renew without anyone accountable. Surprise invoices arrive for tools nobody uses anymore.

Handovers fail silently

Responsibility transfers happen informally via email or chat. Nobody confirms receipt, and accountability gaps grow.

The honest part

Spreadsheets work. Until they don't.

Around 20 people and 100 things-to-track, the wheels come off. Renewals slip. People leave with laptops and master keys. Nobody knows who owns the Figma seat that just auto-renewed for €840.

"
"That MacBook Lisa had... where did it end up?"

A contractor leaves after 8 months. Everyone assumes IT handles it. IT assumes HR handles it. Three chat threads later, still no answer.

Result: The €1,500 laptop is still sitting at someone's home. Nobody knows whose.
"
"We've been paying for 14 Notion seats. For six months."

Everyone migrated to a different tool. The licenses kept renewing. The credit card kept paying. The €12k contract auto-renewed for another year while nobody owned it.

Result: That's a holiday budget, gone. And it happens with 10 tools at once.
"
"Offboarding was a Google Doc, a checklist and a prayer."

We hoped someone remembered the laptop. Hoped the SaaS seat got revoked. Hoped no contract auto-renewed. Three weeks after the leaver date, they still had system access.

Result: NIS2 made it clear: hope is not an audit strategy.
How it works

From chaos to owned
in four steps.

OwndUp is the system of record for who owns what in your organization. Import your assets, tools, and contracts. Every item gets exactly one accountable owner. When people move, leave, or responsibilities shift, nothing falls through the cracks.

Built on three principles: every item has one owner, every transfer requires acceptance, and every gap is visible.

1

Connect

Sign in by email, or connect Microsoft 365 to sync your team list in seconds. No IT ticket required.

2

Import

Drop your existing CSV, or pull directly from your tools. We handle the messy formatting for you.

3

Assign

Every asset gets one accountable owner. Unowned items get auto-flagged so nothing slips through.

4

Relax

Renewals, offboarding, audits: they happen on rails. You get pinged only when a human is needed.

A day in OwndUp

When Lisa leaves the company

Not a feature list. The actual six steps an offboarding takes, from the moment HR marks someone as leaving until the audit trail is filed.

  1. 01

    HR marks Lisa as leaving

One field, one date. No spreadsheet hunt, no chat thread. The clock starts the moment HR confirms her last day.

  2. 02

    OwndUp surfaces everything she owns

Laptop, Figma seat, office key, fleet card, parking pass. Every asset, contract and access still in her name shows up in one view.

  3. 03

    Reassignment becomes mandatory

Each item must land with a new owner before her last day. No exceptions: a human picks who picks up what.

  4. 04

The new owner has to accept

No silent handovers. Jonas gets an email, clicks Accept, and ownership formally moves. Decline sends it back to HR.

  5. 05

    Offboarding completes on its own

When every item is reassigned, the gate closes itself. No one has to chase the final checkbox.

  6. 06

    The audit trail writes itself

Who did what, when, with which acceptances. Exportable as CSV, ready for NIS2, ISO 27001, or whatever audit walks in.

Audit-ready by default. Built for the moments your spreadsheet forgets.

The middle ground

One asset manager for everything
your company holds.

Spreadsheets cover one class half-heartedly. Enterprise IT asset systems cover hardware exhaustively but ignore software, contracts, keys, cards. Niche tools cover only one slice each. OwndUp is the lightweight asset manager that covers everything your company is holding: devices, software, keys, cards, contracts. Each with one named owner. The middle, made specific.

Questions

FAQ, without the fluff.

Everything you need to know about OwndUp.

Anything that needs a clear owner: laptops and devices, SaaS subscriptions, contracts, licenses, vendor relationships, master keys and access fobs, corporate cards, fleet vehicles, office maintenance agreements. You decide what matters enough to track. OwndUp is not a detailed inventory system - it focuses on one thing: making sure every item has exactly one accountable person.
Because we deliberately leave things out. OwndUp focuses on ownership, renewals, and offboarding, the three moments where assets actually slip through the cracks. We do not try to be ITSM, CMDB, or full IT service management. Setup takes around 10 minutes, no IT department or implementation partner required. If you want enterprise depth, buy enterprise software. If you want clarity in a 20-300 person team, that is what we built.
Most teams start with a spreadsheet and eventually outgrow it, then skip straight to heavy ITAM tools. Traditional ITAM focuses on inventory details: serial numbers, depreciation, device specs. OwndUp focuses on accountability. Every item has one owner. Every transfer requires acceptance. Every gap is visible. If you need a tool to answer "who is responsible for this?" instead of "what are the specs of this?", that's OwndUp.
Operations leads, facilities and office managers, finance teams, HR running offboarding, IT managers, and founders at companies with 10 to 500 employees. Large enough that ownership gaps are costing real money, small enough that you don't need enterprise complexity. Especially relevant for organizations preparing for compliance frameworks like NIS2 that require documented asset ownership.
When someone leaves, OwndUp shows everything they own and blocks the offboarding until every item is reassigned to a new owner. The new owner must accept each transfer before it completes. No assets slip through the cracks, no licenses go orphaned, no contracts become unmanaged.
Yes. NIS2 (Article 21) requires organizations to implement asset management measures - including maintaining an asset inventory with clear ownership, documented access controls, and auditable change logs. OwndUp provides exactly this: a centralized asset manager where every asset has one accountable owner, all transfers are logged, and your full ownership history is audit-ready.
Yes. OwndUp is hosted on European servers (EU), is fully GDPR compliant, and uses encryption at rest and in transit. We never share your data with third parties. Your organization's data is completely isolated from other customers, and you can export or delete everything at any time.
Under 10 minutes. Sign up with your email, import your existing data via a spreadsheet, and you're live. If you run Microsoft 365, you can optionally connect it to sync your employee directory. Start with your most critical items and expand from there. No training required, no implementation project needed.
Spreadsheets are a fine starting point: for some teams they never become a problem. The common failure mode is that a spreadsheet doesn't nudge anyone. Owners aren't reminded to reconfirm. Leavers don't have to hand things over. Renewals don't flag themselves. When those become painful (usually around 10 to 20 people), OwndUp is what you switch to. You can export back to a spreadsheet at any time. No lock-in.
