For teams that can't afford to miss a thing

OwndUp watches the things
your business
can't afford to miss.

Contracts, certificates, inspections, assets and recurring tasks in one place. In lists you shape yourself: you decide what you track, what has to happen and when.

Every list has exactly one owner. No scattered spreadsheets hanging on one colleague: ownership hands over, so the overview survives when someone leaves.

Where it goes wrong

It is written down somewhere.
Nobody is
watching it.

01

No ownership

A tab tells you what is there. Not who has to act when the date comes closer.

02

No follow-up

A date in a cell does nothing. It reminds nobody, chases nobody, and slips quietly past.

03

No continuity

The knowledge sits with one person. They go on holiday, fall ill or leave, and a list stays behind that nobody is responsible for.

One missed notice period costs a year of subscription. One lapsed certificate costs you the job.

And sometimes there is not even a list. It sits in a mailbox, a folder, a bookmark, or simply in someone’s head. The problem is not where it is kept, but that nobody looks at it afterwards.

Demo

Forty-five seconds and you have it

From an Excel file to a watched register with an owner per list. No sign-up needed to watch.

45 seconds: from loose file to watched register, in practice.

How it works

From loose file to a watched register, in a few minutes

01

Build your own list

Pick your own columns from ten types, import your existing Excel file or drop a document in. Columns become columns, rows become rows.

02

One owner, shared with your team

Invite colleagues as a reader or an editor. There is always exactly one owner, and that owner can never fall away.

03

Then OwndUp watches the dates

Per row, or in one go across a whole column. New rows are watched automatically, and it keeps chasing until someone handles it.

04

And when someone leaves, you hand over

Pick the lists, pick the successor. The rows, the dates and the reminders come along, and the new owner accepts it themselves.

Filled in faster

Fill your register without retyping Business

Retyping is the biggest hurdle. Drop a contract or certificate in as a PDF and OwndUp pulls out the fields that match your own columns: supplier, amount, start date and end date. The expiry reminder is armed right along with it.

You keep the final say. You always land on a normal, editable row. Whatever was recognised carries a label, and you fill in the rest yourself.
Processed in the EU. The reading happens at Mistral in Paris and we never store the document itself.
Overview

One overview that
keeps watch

The horizon view shows everything coming up in the next 90 days, including the items without a reminder. So you see what is ahead before anyone asks.

And when something needs doing, it reaches the right people, through the channels they already watch. Not one inbox where it can sit unread.

See all features
By email, to everyone you share the list with That way the deadline does not hang on one mailbox. If the owner is away, a colleague sees it too.
In the app and in your Teams channel Teams: Business Every reminder lands in your notification centre. Connect a Teams channel and it arrives there as well.
In your own calendar Subscribe Outlook, Google or Apple Calendar to your personal feed. Every date simply shows up there.
One summary every Monday morning What is overdue, what is due this week and what comes later this month. One calm email, and it is in every plan.
Left undone, it escalates Continuity After a week without action the reminder goes to the backup admin and the admins.
Proof

Sent is not the same
as handled

For every date, OwndUp keeps track of who got the heads-up, who acted on it and when. That is the difference with a shared calendar: it reminds you, but it proves nothing.

Per recipient: sent or failed
Who handled it, with name and date
Stays put when the colleague leaves

“Show me that inspection was followed up.” One screen, done.

Continuity

When Lisa retires, or is simply off sick

This is why we built OwndUp. The person who kept track of everything left, and only months later did it become clear how much had lived in her head. In a spreadsheet a list goes adrift at that point. Here it does not.

A list never becomes ownerless. There is always exactly one owner, and the last one cannot be removed.
Ownership moves by agreement. You hand a list over, the other person accepts. No silent transfer.
A backup can take over. If the owner falls away, the backup admin takes over management. That role is always free.Continuity
Tasks

Also for what needs doing

Not every deadline is an expiry date. Checking backups, chasing invoices, reviewing access rights. Put them on a date as a task, one-off or recurring.

Check it off and the task moves on to the next round by itself Skipping is fine too, without throwing the series off Assign a task to a colleague and only that person gets the nudge
Small things that save a lot

One tool, countless lists

Everyone starts with contracts. Then comes the rest: safety and first-aid certificates per employee, driver CPC, equipment inspections, ISO audits, domains and permits. Always the same move: a list, a date, an owner.

Safety & first-aid certificates

Safety certificates are valid per employee until their own date. Let one lapse and that person cannot be deployed, which you usually find out on the morning itself.

Safety passport · First aid · Fire warden · Forklift certificate

ISO 9001 & 27001

Certifications come with surveillance audits at fixed moments. Put the audit date and the certifying body in one row with a reminder on it, and preparing stops being a sprint.

Driver CPC (Code 95)

Drivers keep their professional competence up with periodic training inside a five-year cycle. Miss the date and the driver cannot drive, with your planning the first casualty.

Driver CPC · C/CE licence · Tachograph card · ADR

Equipment inspections

Cranes, scaffolding, ladders and machines need periodic inspection. Without a valid certificate the equipment cannot be used and the work stops.

Crane · Scaffolding · Ladder · Forklift · Aerial platform

Contracts

Rent, lease, maintenance and insurance contracts often renew silently. Put the notice period in your list as a date and you hear about it well before the deadline, not once the invoice has landed.

Rental contract · Lease · Maintenance contract · Framework agreement

Insurance policies

Policies renew silently and the notice period often sits months before the end date. Exactly the kind of date nobody looks up unprompted.

Liability · Equipment · Legal expenses · Sick pay

Subscriptions & licences

Software subscriptions and licences keep running until someone cancels. One list with expiry dates and costs shows what is quietly renewing and what nobody uses any more.

Permits

Permits and exemptions expire on their own date, and renewing takes lead time at an authority that is not waiting for you.

Planning permit · Environmental permit · Exemption · Operating licence

Domain names

A forgotten domain is gone just like that, along with the email hanging off it. Keep the expiry date and the registrar together so renewing is not left to chance.

SSL certificates

An expired SSL certificate puts a warning straight into your customer's browser. Usually at the worst possible moment.

Which plan fits?

Lite is for one person keeping an eye on their own deadlines, with a backup admin who can step in. Business is the moment you work together: shared lists, roles and the live connections to Excel and SharePoint. Continuity is for teams where a missed date is expensive: a stale reminder escalates by itself to your organisation's backup admin and admins, so nothing depends on one person noticing. Pointing a backup admin and the weekly Monday email, by the way, are in every plan.

Questions

Frequently asked questions

Not seeing your question? Email us and you get an answer from someone who builds the product.

OwndUp watches everything with a date that needs acting on: lists for what expires (contracts, certificates, domains) and tasks for what comes back around (maintenance, inspections, reviews). One place that warns you in time, by email and in the app, and raises the alarm when something is left undone. Think of it as a smarter, shared spreadsheet that thinks along with you, without having to set up a heavy system.
A spreadsheet never nudges you and is hard to share safely. OwndUp gives you per-row reminders, roles for reading and editing, ownership you can hand over, and one search bar across all your lists. And unlike a calendar item, a task in OwndUp carries a duty to be done: left undone, it stays in view and escalates, instead of quietly slipping away.
No. Everything in OwndUp has a date. For daily to-dos and projects there are other tools; OwndUp watches the dates that things depend on, including recurring maintenance, and raises the alarm when something is left undone.
It stays in view, in your weekly overview and the Monday email. On Continuity, a task left too long escalates to the backup admin and the admins, so it doesn't quietly disappear like a dismissed calendar item.
For each column you pick from text, text area, date, number, amount, yes/no, choice list, email, phone and link. A link column can double as a document location, for example to a file in SharePoint or OneDrive. You attach reminders to a date column, so you get a notification 30 days before an expiry date, for instance.
Every list is private until you share it. You invite colleagues as a reader or an editor, exactly as much access as needed. Every list always keeps at least one owner, so nothing ends up rudderless. On a task list you can also assign a single task to a colleague: only that person gets the nudge, even without access to the whole list.
Yes. Upload an Excel file and the headers become columns, the rows become data. You can also export any list back to Excel, per list or all at once as a backup.
You log in with your Microsoft account and you can link an existing SharePoint list. It shows up as a read-only mirror in OwndUp: you manage the content in SharePoint, and OwndUp layers on the reminders SharePoint doesn't offer itself. We never write anything back to SharePoint; the refresh happens when you open or refresh the list.
The application, the database and the backups run at TransIP in the Netherlands, and therefore within the EU. OwndUp is built to the GDPR and you can always export your data. Your data is yours.
